Mullahomes Ltd t/a Mullatech (“we”, “us”, “our”) operates the Mullatech Work Log mobile application (the “App”). This policy explains what data the App collects, how it is used, and your rights regarding that data.

1. Who This App Is For

The Mullatech Work Log App is an internal business tool used exclusively by employees and contractors of Mullahomes Ltd t/a Mullatech. It is not available to the general public. Access is restricted to authorised users only.

2. Data We Collect

  • Location data — GPS coordinates are collected while a drive is being tracked, to record work-related journeys and calculate mileage. Location is also used to reverse-geocode check-in addresses.
  • Work activity data — job check-in and check-out times, job notes, costs added during a job, drive records, day records, and to-do items created within the App.
  • Device information — device name, used to identify which device recorded an entry.
  • FreeAgent account data — when connected to FreeAgent, the App reads and writes invoice, estimate, and contact data on behalf of the authorised user using OAuth 2.0. No FreeAgent credentials are stored by the App.

3. How We Use This Data

  • To log and report on work carried out at customer sites
  • To calculate mileage for expense and payroll purposes
  • To generate invoices and estimates via FreeAgent
  • To coordinate job scheduling and task management within the Mullatech team

Data is not used for marketing, advertising, or any purpose unrelated to the operational management of Mullahomes Ltd.

4. Data Storage

Data is stored in two places:

  • On device — a local Room database on the user’s Android device.
  • Firebase Realtime Database — hosted by Google LLC on servers in the EU (europe-west1 region), used to synchronise data across authorised devices. Firebase is operated under Google’s standard data processing terms.

5. Data Sharing

We do not sell, rent, or share personal data with any third parties, except:

  • Google Firebase — for cloud storage and synchronisation as described above.
  • FreeAgent — when the user connects their FreeAgent account, relevant job and invoice data is transmitted to FreeAgent’s servers in accordance with their privacy policy.
  • OpenStreetMap / Nominatim — location coordinates may be sent to Nominatim’s geocoding service to obtain human-readable addresses. No personal identifiers are included in these requests.

6. Data Retention

Data is retained for as long as it is needed for business and accounting purposes, typically seven years in line with UK tax record requirements. Users may request deletion of their data by contacting us at the address below.

7. Your Rights

Under UK GDPR you have the right to:

  • Access the data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data (subject to legal retention requirements)
  • Object to processing

8. Security

Access to the App requires authentication via Firebase Authentication. Data in transit is encrypted using TLS. Firebase database access is restricted to authenticated users only.

9. Children’s Privacy

The App is intended for use by adults in a professional capacity only. We do not knowingly collect data from anyone under the age of 18.

10. Changes to This Policy

We may update this policy from time to time. Any changes will be reflected on this page with an updated date at the top.
